Director of Conference and Events

JOB SUMMARY:

Director of Conferences and Events shall schedule and maintain room reservation calendar for all College, student and community usage.  Coordinate setup logistics for college-wide meetings, student activities, tournaments, recitals, performances, summer camps, weddings, and special events for both internal and external audiences.  Serve as primary liaison with meeting/site planners, faculty, staff and students.  Coordinate support services such as: housekeeping, security, maintenance, physical plant staff, and audio visual/technical support needed surrounding each event.  Serve as primary coordinator and day-of manager for annual Commencement, Holiday Staff Brunch, and Lessons & Carols.

DUTIES AND RESPONSIBILITIES:

  • Room reservation scheduling and coordinating
  • Producing contracts and invoicing for all external rentals and payment processing maintaining conference and events budget
  • Awareness of presentation of rental facilities
  • Maintenance of policy and procedures manual
  • Recruiting, scheduling and processing payments of student and professional technical support staff for campus events
  • Book, contract, market, manage and maintain Summer Conference and Summer Camps program including: hiring, training and supervision of conference staff, room assignments, key distribution, facilities maintenance, all invoicing, payment processing, and pre and post communications regarding the conferences and camps
  • Invoicing, insurance certificate collection, and payment processing for Pride Field, Reynold’s Center Pool, and gym rentals.

SKILLS AND QUALIFICATIONS:

  • Bachelor’s degree preferred and/or 3 to 5 years of experience in the field of event management and customer relations, preferably in a higher education setting.
  • Knowledgeable in the development and completion of activities for volunteers and supporters including meeting and event planning, publicity, direct mail, printing and design.
  • Understand the role and relationship of constituent groups to Greensboro College as they pertain to the goals of the institution.
  • The ability to initiate relationships and work well with a variety of ages and personalities and to motivate and encourage individuals through personal interaction, correspondence, and public speaking.
  • Ability to work independently and within a team environment to achieve common goals.
  • Ability to provide direction and motivation to others through communication, modeling appropriate behavior, optimism and high achievement.
  • Basic competencies in the use of Microsoft Office software
  • Must be willing and able to work evenings and weekends.
  • Possess excellent organizational, writing, and communication skills and keen attention to detail.
  • Awareness that the work requires a degree of discretion, integrity, ethics and confidentiality.
